About the Role
HelpGrid is looking for a People Operations Specialist to help build and maintain the systems, processes, and operational infrastructure that keep our HR function running effectively.
This is a hands-on People Operations role with a strong focus on HR systems, data, workflows, process improvement, and project execution. You’ll work across the employee lifecycle while also helping the HR team improve and scale the way we operate as our organization continues to evolve.
You’ll be someone who enjoys understanding how things work, finding ways to make them better, and turning ideas into practical solutions. Some processes will already be established; others will need to be improved, rebuilt, or created from scratch.
You’ll work closely with the HR team, employees, and cross-functional stakeholders, moving between day-to-day People Operations, systems and data, and longer-term projects.
What You’ll Do
HR Systems & Workflows
Administer and maintain our HRIS and People Operations tools.
Maintain accurate employee information, system configurations, workflows, and documentation.
Build and improve workflows that make HR processes more efficient and scalable.
Troubleshoot system and process issues and work with the right stakeholders to resolve them.
Support the implementation of new HR tools, workflows, and processes.
Look for opportunities to reduce manual work and improve how information flows across HR.
People Data, Reporting & Analytics
Build and maintain recurring HR reports and dashboards.
Ensure people data is accurate, complete, and reliable.
Prepare weekly, monthly, quarterly, and annual reporting.
Review data to identify trends, inconsistencies, and areas that may require attention.
Turn people data into clear insights that can support HR and business decisions.
Continuously improve how we collect, organize, and report people information.
HR Projects & Process Improvement
Own or contribute to HR projects from planning through implementation.
Coordinate with stakeholders to keep projects moving and follow through on next steps.
Document existing processes and identify opportunities to make them clearer and more efficient.
Adjust workflows and processes as business needs, systems, and organizational structures evolve.
Help turn new ideas and initiatives into practical, repeatable processes.
Employee Operations & HR Support
Manage incoming People Operations requests and help employees find clear, timely solutions.
Support onboarding, offboarding, employee information changes, and other lifecycle processes.
Maintain accurate employee records and documentation.
Support benefits administration and related employee needs.
Create and maintain employee guides, training materials, and process documentation.
Employee Experience & Communication
Help make HR processes easy for employees to understand and navigate.
Support onboarding activities, employee initiatives, events, and team-building efforts.
Communicate HR changes, new processes, and initiatives clearly and practically.
Consider the employee experience when improving systems and processes.
The Environment You’ll Be Working In
HelpGrid is a growing, privately owned company operating across eCommerce, Sales, customer operations, and product development. Our organization continues to evolve, which means our HR function is evolving with it.
You may spend part of your day improving an HRIS workflow, reviewing a reporting issue, responding to an employee request, and then shifting into an HR project that requires coordination across several teams.
We’re looking for someone who is comfortable with that variety and enjoys working across systems, data, processes, people, and projects.
What You’ll Bring
2+ years of experience in People Operations, HR Operations, HRIS administration, or a closely related role.
Hands-on experience working with HRIS or People Operations systems and tools.
Experience creating or maintaining reports, dashboards, or people analytics.
HRIS implementation or improvement experience.
Workflow automation or process optimization experience.
Benefits or insurance administration experience.
Strong attention to employee data accuracy and detail.
Experience improving, documenting, or implementing HR processes.
Experience managing projects or initiatives involving multiple stakeholders.
Strong organization and ability to prioritize across different types of work.
Clear written and verbal communication.
Ability to work independently while knowing when to involve others.
A practical approach to solving operational and process-related challenges.
Discretion and care when working with confidential employee information.
Experience That Would Be Especially Valuable
Experience in SaaS, BPO, eCommerce, or another fast-changing environment.
Experience supporting both employees and contractors.
